Guide

This guide walks you through the everyday updates you can make yourself on the website, using the Dashboard — the admin area only your team can see. It covers accommodations, travel packages, testimonials, and the site content that can be edited without touching any code.

Before You Start

What you can do with this guide

  • Add or edit accommodations — hotels, lodges, resorts and camps you offer.
  • Add or edit travel packages — safaris, tours and holiday packages, including pricing.
  • Add client reviews — the testimonials shown on your homepage.
  • Update site-wide details — phone numbers, email, WhatsApp, social links, and homepage text/photos.
  • Update page content — About Us, Contact Us, Corporate Services and legal pages.

What this guide does not cover

Anything involving the website’s design, layout, new page types, plugins, or how things work behind the scenes needs a developer. If you’re ever unsure whether something is safe to change yourself, skip it and ask — see “What Not To Do” near the end of this guide.

Logging in

  • Go to your website’s login page: yourwebsite.com/wp-admin
  • Enter the username and password your developer gave you.
  • You’ll land on the Dashboard — the black menu on the left is how you get everywhere in this guide.

Tip: bookmark the login page in your browser so you don’t have to remember the address.

1. Finding Your Way Around the Dashboard

Every screen in the Dashboard follows the same basic pattern, so once you’ve added one accommodation or package, the rest feel familiar.

The left-hand menu

  • Accommodation — your hotels, lodges, resorts and camps.
  • Travel Packages — your safaris, tours and holiday packages.
  • Testimonials — client reviews shown on the homepage.
  • Pages — About Us, Contact Us, Corporate Services and legal pages.
  • Media — every photo and file ever uploaded to the site.
  • Theme Settings — site-wide details: contact info, homepage text/photos, social links, logos (near the bottom of the menu, gear icon).

What a typical “Add New” screen looks like

  • Title box — the name at the very top: a property name, package name, or client name.
  • Big text box underneath — works like Word: type a description, make text bold, add bullet points.
  • Right-hand sidebar — where you Publish, set the Featured Image (the main photo), and pick tags such as Destination or Category.
  • Details box further down the page — this is where the specific fields live: prices, galleries, itineraries and so on. Each post type (Accommodation, Travel Packages, Testimonials) has its own Details box, covered below.

Publish, Draft, and Update

  • Draft — saved but not visible to visitors yet. Use this while you’re still working on something.
  • Publish — makes it live on the website immediately.
  • Update — the button you’ll see instead of “Publish” once something is already live. Click it to save further changes.
  • Move to Trash — removes it from the website. Trashed items can still be restored for about 30 days before WordPress deletes them for good.

Featured Image

Nearly every screen has a “Featured Image” box in the right-hand sidebar. This is the main photo shown on cards, listings and at the top of the page — always set one before publishing.

2. Adding a Hotel, Lodge, Resort or Camp

Go to Accommodation → Add New in the left-hand menu.

  • Step 1. Type the property’s name into the title box at the top.
  • Step 2. Write a description in the big text box below the title.
  • Step 3. In the right-hand sidebar, set a Featured Image — the main photo for this listing.
  • Step 4. Still in the right-hand sidebar, choose a Destination (e.g. “Diani Beach”) and an Accommodation Type (e.g. “Resort”). If the one you need doesn’t exist yet, type its name and click “Add New” — see Section 4 for more on this.
  • Step 5. Scroll down to the “Accommodation Details” box and fill in the fields below.

Accommodation Details — field by field

  • Featured on Homepage — switch this on to show the property in the “Featured Accommodation” section on the homepage. Up to 6 can be featured at once.
  • Photo Gallery — upload several good-quality photos; these appear in the gallery on the property’s page. Wide (landscape) photos work best.
  • Starting Price (per night) — a whole number with no commas, e.g. 25000.
  • Currency — KES or USD.
  • Facilities — click “Add Facility” for each one, e.g. “Swimming Pool”, and optionally pick a matching icon from the list.
  • Amenities — simply tick every box that applies (Wi-Fi, Pool, Parking, Restaurant, Bar, Spa, Gym, Airport Shuttle, Pet Friendly, Conference Rooms); these show as small icons on the page.
  • Location Address — e.g. “Watamu Road, Malindi” — shown on the page.
  • Google Map Embed URL — the easiest way: copy the property’s address, then paste it into this pattern in place of “YOUR ADDRESS”: https://www.google.com/maps?q=YOUR+ADDRESS&output=embed (replace spaces in the address with a + sign).
  • Nearby Attractions — points of interest close by, e.g. “Watamu Marine Park” with a distance like “2.5 km”.
  • WhatsApp Number (optional) — only fill this in if enquiries about this specific property should go to a different WhatsApp number than the one in Theme Settings. Use the full international format, e.g. +254712345678.
  • Enquiry Button Text — the wording on this property’s enquiry button, e.g. “Enquire Now” or “Check Availability”.

Step 6. Click Publish (top right) when you’re ready to make it live.

Editing or removing an existing listing

Go to Accommodation → All Accommodation, click the property’s name, make your changes, then click Update. To temporarily hide a listing without deleting it, open it and change its status to Draft. To remove it altogether, use Move to Trash.

3. Adding a Travel Package

Go to Travel Packages → Add New in the left-hand menu. The overall steps are the same as adding an accommodation:

  • Step 1. Type the package name into the title box.
  • Step 2. Write a description in the big text box.
  • Step 3. Set a Featured Image in the right-hand sidebar.
  • Step 4. Choose a Destination and a Package Category (e.g. Family, Honeymoon, Group, Adventure, Solo, Corporate) in the right-hand sidebar. Type a new name and click “Add New” if the one you need doesn’t exist yet.
  • Step 5. Scroll down to the “Travel Package Details” box and fill in the fields below.

Travel Package Details — field by field

  • Featured on Homepage — switch this on to show the package in the “Featured Packages” section on the homepage. Up to 6 can be featured at once.
  • Photo Gallery — upload several good-quality photos for the package’s own gallery.
  • Duration — e.g. “5 Days / 4 Nights”.
  • Starting Price — a whole number with no commas, e.g. 45000.
  • Currency — KES or USD.
  • Highlights — one short line per row, e.g. “Private beach access” — shown as a checklist.
  • Itinerary — click “Add Day” for each day of the trip, filling in the day number, a short day title, and a description of what happens that day.
  • What’s Included / What’s Excluded — two separate checklists, one line per item, e.g. “Airport transfers” (included) or “Travel insurance” (excluded).
  • WhatsApp Number (optional) — only fill this in if enquiries about this specific package should go to a different WhatsApp number than the one in Theme Settings.

Step 6. Click Publish when ready.

Pricing by vehicle type

Use this only if the price of a package changes depending on the vehicle a traveller chooses — for example, a Nairobi day trip that costs more in a Land Cruiser than in a Safari Van.

  • Step 1. In the “Vehicle Pricing Options” box, click “Add Vehicle Option” for each choice.
  • Step 2. Type the vehicle name (e.g. “Safari Van”) and its price per person (e.g. 4000).
  • Step 3. Add another row for the next vehicle (e.g. “Land Cruiser” at 6000).

On the live package page, visitors see these as choices to pick from, and the total price updates automatically to match. Leave this box completely empty to keep things simple — the package will just use the single Starting Price above, as normal.

Optional add-ons / stopovers

Use this for extra stops or activities a traveller can choose to add to the trip for an additional cost — for example, a stop at the Giraffe Centre on the way to Nairobi National Park.

  • Step 1. In the “Optional Add-ons” box, click “Add Option” for each extra.
  • Step 2. Type its name (e.g. “Giraffe Centre”) and its price per person (e.g. 500).
  • Step 3. Add as many rows as you need, e.g. “Bomas of Kenya” at 800.

These appear as tick-boxes on the package page. A traveller can tick as many as they like, and the total price updates automatically to include them, on top of whichever vehicle (if any) they’ve chosen. Leave this box empty if a package has no optional add-ons.

Note: only packages priced in KES can be booked and paid for online, since the shop currently accepts one currency. USD-priced packages still show all their details, but visitors book those via the enquiry form instead.

Editing or removing an existing package

Go to Travel Packages → All Travel Packages, click the package’s name, make your changes, then click Update. Use Draft to hide a package temporarily, or Move to Trash to remove it.

4. Destinations, Categories & Types

These are the labels used to organise and filter your Accommodation and Travel Packages — visitors use them to narrow down what they’re looking for.

  • Destinations — the place something is located in or travels to, e.g. “Maasai Mara” or “Zanzibar”. Shared by both Accommodation and Travel Packages, and can be nested (e.g. “Kenya” as a parent of “Nairobi”).
  • Package Categories — the kind of trip: Family, Honeymoon, Group, Adventure, Solo, Corporate. Used only by Travel Packages.
  • Accommodation Types — the kind of stay: Hotel, Lodge, Resort, Camp. Used only by Accommodation.

Adding a new one

There are two ways to add a new Destination, Category or Type:

  • While editing an Accommodation or Travel Package, type the new name into the relevant box in the right-hand sidebar and click “Add New” — it’s created and applied in one step.
  • Or manage the full list directly: hover over Accommodation or Travel Packages in the left-hand menu to find “Destinations”, “Package Categories” or “Accommodation Types” in the flyout submenu. From there you can add, rename, merge or delete entries.

5. Adding a Client Review (Testimonial)

Go to Testimonials → Add New.

  • Step 1. Type the client’s name into the title box.
  • Step 2. Fill in Role / Company — shown under their name, e.g. “Nairobi” or “Acme Corp, Kenya”.
  • Step 3. Set a Rating from 1 to 5 stars.
  • Step 4. Paste or type the Quote — the review itself, in the client’s own words.
  • Step 5. Optionally add a Photo of the client. If you leave this blank, their initials are shown instead.
  • Step 6. Optionally paste a YouTube or Vimeo link into Video URL to show this as a video testimonial instead of a plain quote.
  • Step 7. Click Publish.

Published testimonials appear automatically in the testimonials section on the homepage.

6. Site-Wide Settings (Theme Settings)

Theme Settings, near the bottom of the left-hand menu (gear icon), controls details that appear across the whole website — not tied to one specific listing. The screen is organised into tabs down the left, plus a few extra boxes further down the same page for homepage content.

General

  • Company Blurb — a short 1–2 sentence introduction to Flare Travels, shown in the footer on every page.

Homepage Stats

Powers the animated counters on the homepage (e.g. “26,000+ Tours Completed”). Add a row for each stat with a Label, a Number, and an optional Suffix such as “+” or “%”.

Contact Info

  • WhatsApp Number — the default number used in the header, footer and enquiry buttons site-wide, unless a specific listing has its own number.
  • Phone Number / Secondary Phone Number — shown in the header, footer and Contact page.
  • Email — your main enquiries address.
  • Notification Email — where every form submission on the site (accommodation, packages, corporate, contact) is sent internally. Leave blank to use the site’s admin email instead.
  • Office Address / Office Hours — shown in the footer and on the Contact page.
  • Map Embed URL — shown on the Contact page, same trick as in Section 2. Leave blank to show a map centred on the Office Address automatically.

Social Links

Add one row per social profile: pick the platform (Facebook, Instagram, LinkedIn, YouTube, TikTok) and paste the full profile URL.

Logos

  • Client Logos — shown in the “As Seen With” strip on the homepage and About page.
  • Membership Logos — industry association logos (e.g. KATO, IATA), shown alongside the client logos.

SEO & Analytics

Google Analytics ID and Search Console verification code live here. These are technical settings your developer will usually set up for you — only change them if you know exactly what you’re pasting in.

Homepage — Hero Section

Controls the large banner at the top of the homepage.

  • Hero Mode — choose Background Video, Single Image, or Slideshow; the upload fields below change to match your choice.
  • Headline — the large, bold line of text over the banner. Keep it short.
  • Supporting Text — one short sentence underneath the headline.

Homepage — Why Choose Us

Up to 4 short trust points shown on the homepage. Each has an icon, a title (e.g. “Trusted Travel Experts”) and a one-sentence description.

Homepage — Destination Management Teaser

A short 2–3 sentence introduction to Destination Management Services shown in its own band on the homepage.

Homepage — Final CTA

The closing heading and subtext shown near the bottom of the homepage, just before the footer.

Page Header Images

Background photos shown behind page titles: one for the Accommodation listing page, one for the Travel Packages listing page, and a Default image used as a fallback on every other page that doesn’t have its own header image set.

7. Editing Existing Pages

About Us, Contact Us, Corporate Services and the legal pages are ordinary WordPress Pages, found under Pages → All Pages. Click a page’s title to open and edit it, then click Update to save.

Note: always edit the pages that already exist — don’t create brand-new pages expecting the same layout, since these special sections only work on the specific pages your developer set up. Ask your developer if you need an additional page like this.

About Us

Below the normal text editor is a “Page Sections” box — a flexible list of building blocks you can add, remove, reorder or edit independently:

  • Company Overview — a heading and body text.
  • Our Story — a heading, body text, and an optional photo.
  • Mission / Vision — a heading and short body text for each.
  • Core Values — a heading, plus a list of values, each with an icon, title and short description.
  • Why Choose Us — always mirrors the homepage’s Why Choose Us section automatically; edit it from Theme Settings, not here.
  • Partners Logos / Memberships Logos — these display the Client Logos and Membership Logos from Theme Settings automatically; edit them there, not here.

Use the “Add Section” button to add another block, drag a section’s “≡” handle to reorder it, or remove a section you don’t need.

Contact Us

Just a Header Image, a Form Heading and a Form Subtext — every other contact detail (phone, email, address, hours, map) is pulled automatically from Theme Settings → Contact Info, so update it there instead.

Destination Management Services

  • Header Image — the page’s banner photo.
  • Intro / Overview Text — the main introduction near the top; separate paragraphs with a blank line.
  • Feature Grid — a row per service covered (e.g. “Ground Handling”), each with an icon, title and short description.
  • Closing CTA Heading / Subtext — the bold heading and short sentence in the dark band at the bottom of the page.

Corporate Services

The Corporate Services hub page just has a Header Image. Its four sub-pages — Corporate & Conferences, Team Building, School Trips, and Golf Packages — each have their own Header Image, Intro Text, Feature List (icon, title, description per row) and an optional Gallery.

Legal Pages

Privacy Policy, Terms & Conditions, Cancellation & Refund Policy, and Cookie Policy all work like a normal Word document — edit the text directly in the main content editor.

Note: whenever you change the wording on a legal page, also update its “Last Updated” date field further down the page — this date is shown to visitors at the top. For any changes to the actual legal wording (not just formatting), it’s worth having these reviewed by a lawyer.

8. Photos & Media — Quick Tips

  • Use landscape (wide) photos for banners, headers and galleries — they fill the space better than tall or square photos.
  • Keep file sizes reasonable — compress large photos before uploading (there are free tools online for this); huge files slow the website down for visitors.
  • JPG for photos, PNG for logos — use PNG when a logo needs a transparent background; JPG is fine for regular photos.
  • Reuse instead of re-uploading — the Media Library (left-hand menu) keeps every photo ever uploaded; when adding a gallery or featured image, you can pick an existing photo instead of uploading it again.

9. What Not To Do — When to Call Your Developer

Everything above is safe to explore — Draft status means nothing goes live until you click Publish. A few things, though, are best left to your developer:

  • Don’t open Appearance → Theme Editor, or edit any Plugins — these contain the website’s code, and a small mistake there can take the whole site down.
  • Don’t create brand-new pages expecting the special layouts described in Section 7 — those only work on the specific pages already set up for them.
  • Don’t change Settings menu items you don’t recognise, especially anything under Settings → General, Permalinks, or WooCommerce configuration.
  • Do get in touch with your developer if: something looks visually broken after a change, you want a new feature or page type, a customer reports a payment or checkout problem, or you’re simply not sure whether something is safe to click.
