Website Admin Guide
Welcome! This page is just for you — a plain-English walkthrough of the things you’ll do most often on your website: adding and editing Travel Packages, adding and editing Accommodations, adding and editing Publications (your brochures and magazines), and updating the contact details and homepage content in Theme Settings. Take your time, and don’t worry about breaking anything — WordPress asks you to confirm before anything is deleted permanently.

Getting Started
Logging In
Go to flaretravels.com/wp-admin in your web browser and sign in with the username and password you were given. This takes you to your Dashboard — the control centre for the whole website.
Finding Your Way Around
Look at the dark menu running down the left-hand side of the screen. These are the four areas you’ll use most:
- Travel Package — every safari and tour you offer
- Accommodation — every lodge, camp, resort and hotel you list
- Publication — every brochure and magazine you list
- Theme Settings — your phone number, email, social media links and homepage content
Clicking any of these opens a list. From there, an Add New button (usually at the top of the page, next to the title) starts a brand new entry.
Tip: Whatever you’re editing, changes are only saved to the live website once you click the blue Publish or Update button. Nothing goes live until you click that button.
Managing Travel Packages
A “Travel Package” is one safari or tour listing, such as “4 Days Amboseli National Park Safari”. Each one has a title, description, photos, pricing, and a day-by-day itinerary.
Adding a New Travel Package
- In the left menu, click Travel Package, then click Add New at the top of the page.
- Click where it says Add title and type the package name, e.g. “5 Days Masai Mara Adventure”.
- Click into the large empty box below the title and type (or paste) the main description of the trip.
- On the right-hand side, find Add an excerpt… and click it. Type a short one or two sentence summary here — this is what shows on the packages listing page.
- Still on the right, look for the Destinations box and tick every place this trip visits — this now covers East African destinations (e.g. Maasai Mara, Nairobi) as well as international ones (e.g. Dubai, Bangkok, Shanghai). If the destination doesn’t exist yet, there’s an Add New Destination link to create it.
- Do the same for Package Categories. Every package should get one of E. Africa or International, alongside its trip-type category (e.g. “Wildlife Safari”, “Honeymoon”, “Corporate”) — this is what lets visitors browse packages by region. Use E. Africa for Kenya/East Africa trips and International for anything overseas (Dubai, Thailand, China, Sri Lanka, etc.). If a category doesn’t exist yet, there’s an Add New Package Category link to create it.
- Scroll down the page. Below the description box you’ll find a section called Travel Package Details. This is where the important details live:
- Featured on Homepage — switch this to “Yes” if you want this package to appear on your homepage.
- Photo Gallery — click the box to upload or choose photos from your media library.
- Duration, Starting Price and Currency — the headline length and “from” price shown to visitors. For International packages, always set Currency to USD — international pricing is shown in US Dollars only, never Kenyan Shillings.
- Resident / Non-Resident Pricing (its own box further down the page) — for East Africa packages, fill in both Resident Price (KES) and Non-Resident Price (USD) so the site shows both rates side by side. For International packages, leave both of these fields blank — the site will just show the single USD price from Starting Price instead.
- Vehicle Pricing Options and Optional Add-ons — click Add Row to add each price option, then fill in the name and price.
- Highlights — short bullet points about what makes the trip special. Click Add Row for each one.
- Itinerary — click Add Row for every day of the trip, then fill in the day number, a short title, and the description.
- What’s Included and What’s Excluded — bullet-point lists, one item per row.
Pricing tip: East Africa packages show two prices side by side — a KES rate for residents and a USD rate for non-residents (fill in both under Resident / Non-Resident Pricing). International packages (Dubai, Thailand, China, Sri Lanka, etc.) show a single USD price only — set Currency to USD, fill in Starting Price, and leave Resident / Non-Resident Pricing blank.
- When everything looks right, click the blue Publish button in the top-right corner, then click it again to confirm.
- Click View Travel Package (or open the page on your website) to double-check everything looks correct.
Editing a Travel Package
- In the left menu, click Travel Package to see the full list.
- Find the package you want to change and click its title (or hover over it and click Edit).
- Make your changes anywhere on the page, exactly as described above.
- Click the blue Update button in the top-right corner to save your changes to the live site.
Deleting a Travel Package
- In the left menu, click Travel Package to see the full list.
- Hover your mouse over the package you want to remove — a row of links (Edit, Quick Edit, Trash, View) will appear underneath its title.
- Click Trash.
Good to know: “Trash” doesn’t delete it forever right away — it’s moved to a Trash folder for about 30 days, so there’s time to change your mind. To remove it permanently straight away, open the Trash folder (link at the top of the list) and click Delete Permanently.
Managing Accommodations
An “Accommodation” is one lodge, camp, resort or hotel listing, such as “Giraffe Manor”. The steps are almost identical to Travel Packages.
Adding a New Accommodation
- In the left menu, click Accommodation, then click Add New.
- Type the property name where it says Add title.
- Click into the large box below and type the main description.
- Click Add an excerpt… on the right and type a short one or two sentence summary.
- On the right, tick the correct Destination (e.g. Diani Beach) and Accommodation Type (e.g. Resort, Lodge, Camp, Hotel). Use the Add New links if you need a brand new option.
- Scroll down to the Accommodation Details section for the rest:
- Featured on Homepage — switch to “Yes” to show it on the homepage.
- Photo Gallery — upload or choose photos.
- Starting Price and Currency — the nightly rate shown to visitors.
- Facilities — click Add Row for each facility (e.g. “Swimming Pool”) and optionally choose a matching icon from the dropdown.
- Amenities — simply tick the boxes that apply (Wi-Fi, Pool, Parking, etc.).
- Location Address and Google Map Embed URL — the address shown on the page and the map underneath it.
- Nearby Attractions — click Add Row for each nearby place and its distance.
- Enquiry Button Text — the wording on the button visitors click to ask about availability (e.g. “Check Availability”).
- Click the blue Publish button, then confirm.
Editing an Accommodation
Same as editing a Travel Package: click Accommodation in the left menu, click the listing you want to change, make your edits, then click the blue Update button.
Deleting an Accommodation
Same as deleting a Travel Package: click Accommodation in the left menu, hover over the listing, and click Trash. It’s kept for about 30 days before being removed for good.
Managing Publications
A “Publication” is one brochure or magazine — a PDF that visitors can read online as a page-turning flipbook or download directly, such as “Flare Travels Explorer — Q1 2026”. Each one has a title, a short description, a cover image and a PDF file.
Adding a New Publication
- In the left menu, click Publication, then click Add New at the top of the page.
- Click where it says Add title and type the publication’s name, e.g. “Flare Travels Family Getaways”.
- On the right-hand side, set the Cover Image — this is the featured image shown on the card and on the reading page.
- Scroll down to the Publication Details section:
- Description — a short one or two sentence summary shown on the publication’s card wherever publications are listed.
- PDF File — upload the actual brochure or magazine as a PDF. This is the file visitors read online and download.
- Featured on Homepage — switch to “Yes” to include this publication in the homepage section (up to 3 are shown, most recently published first).
- Publish Date — defaults to today; change it if you’re adding an older back-issue, since this is used to order publications newest-first.
- Click the blue Publish button, then confirm.
- Click View Publication to open it and check the page-flip reader works and the Download button gives visitors the PDF.
Editing a Publication
Same as editing a Travel Package: click Publication in the left menu, click the one you want to change, make your edits, then click the blue Update button.
Deleting a Publication
Same as deleting a Travel Package: click Publication in the left menu, hover over the listing, and click Trash. It’s kept for about 30 days before being removed for good.
Tip: The “Featured on Homepage” switch on each publication controls which publications are eligible to show — but there’s also one master switch for the whole section. See Publications Settings under Changing Theme Settings, below, to turn the homepage section on or off entirely.
Changing Theme Settings
Theme Settings is where your company’s contact details, social media links and homepage content live. You’ll find it near the bottom of the left-hand menu, marked with a small gear icon. When you open it, you’ll see several tabs running across the top (or down the side) of the page — click a tab name to jump to that group of fields.
Updating Your Phone, Email or Address
- Open Theme Settings and click the Contact Info tab.
- Update whichever field needs changing — Phone Number, Secondary Phone Number, WhatsApp Number, Email, Office Address, Office Hours, or the Map Embed URL (the code that controls the map shown on your Contact page).
- Click the blue Update button (top-right of the page) to save.
Updating Social Media Links
- Open Theme Settings and click the Social Links tab.
- To add a new one, click Add Row, choose the platform (Facebook, Instagram, etc.) from the dropdown, and paste the full web address into the URL box.
- To remove one, click the small minus/remove icon next to that row.
- Click Update to save.
Updating Homepage Content
Further down the Theme Settings page (or under their own tabs) you’ll find the sections that control your homepage:
- General — your short company blurb/description.
- Homepage Stats — the row of numbers (e.g. “500+ Happy Travellers”). Add or edit a row for each statistic, with its label, number and suffix.
- Homepage — Hero Section — the large image or video at the very top of your homepage, plus its headline and supporting text.
- Homepage — Why Choose Us — the trust points with icons shown on the homepage.
- Homepage — Final CTA — the heading and text on the call-to-action banner near the bottom of the homepage.
- Logos — the client and membership logos shown on your site.
Edit the text or swap the images the same way as everywhere else, then click Update.
Publications Settings
Also in Theme Settings, you’ll find a Publications Settings section with one switch:
- Show Publications on Homepage — switch this to “No” to hide the whole “Featured Publications” section from your homepage, no matter how many individual publications are marked “Featured on Homepage” on their own edit screens. Switch it back to “Yes” to show it again. This doesn’t affect the Publications page itself or any publication’s own reading page — both stay accessible as normal either way.
Settings to Leave Alone
Important: The SEO & Analytics tab (Google Analytics ID and Search Console code) connects your site to outside tracking tools. Please don’t change anything here unless your web developer specifically asks you to — an incorrect code can stop your website’s statistics from working.
Good Habits & Getting Help
- After publishing or updating anything, open the page on your actual website (in a new browser tab) to check it looks right.
- If you’re halfway through writing something and need to stop, click Save Draft instead of Publish — you can come back and finish it later without it going live yet.
- If something goes wrong or you’re not sure about a change, it’s always safe to simply not click Publish/Update — nothing is saved to the live site until you do.
- If you get stuck, contact your web developer for help rather than guessing — most things are easy to undo, but it’s always better to ask first.
